The Maryville clinical placement process, from search to first day

Who does what in a Maryville placement

The search is yours. Maryville's admitted-student welcome page, written for MSN, BSN-DNP, DNP-NP and certificate students, makes students responsible for arranging preceptors and program administration responsible for approving them. The 2023 MSN webinar was blunter, calling your own search "absolutely an expectation."

Maryville's side is review and approval. Its Ask Maryville help articles send graduate nursing students to the Maryville Online Clinical Team for Exxat and onboarding questions, name the Program Coordinator as the approver for Preceptor Exception Forms, and make your course faculty the last of the four sign-offs. There is a fallback. Maryville advertises preceptor placement assistance and a preceptor mentorship program, but its February 2026 blog on finding a preceptor says the assistance "isn't intended to be a first resource." When and how to lean on it is covered under Maryville placement assistance.

The semester before: packet, Exxat and compliance

Maryville starts the clinical process a term ahead. The welcome page says that in the semester before your first clinical course, Maryville sends preceptor qualifications, the site types that qualify, and set-up steps for its "Clinical Database System": background check, drug screen and immunizations. A 2023 webinar called this bundle your clinical packet.

That database is Exxat. According to Maryville's April 2025 Exxat help article, access comes "approximately 3-4 months prior to their first semester of clinical." Exxat holds the Compliance module, your site and preceptor requests, and a School Resources dashboard. The background check and drug screen are ordered through Universal inside Exxat.

Start compliance the week access opens. It is the first of the four approvals and the only one entirely in your hands, and it includes the Physical Examination Form, TB testing and American Heart Association BLS. The item-by-item list is on clinical compliance.

The path, step by step

1. Line up a preceptor earlyThe 2023 MSN webinar suggested having a possible preceptor in mind while you apply. Check them against Maryville's rules before you ask: APRN, MD or DO, board certified, an unencumbered license and at least a year of experience. See preceptor requirements.
2. Clear Exxat ComplianceUpload every item, complete the Universal background check and drug screen, and fix rejections. Compliance must be approved and current, not just submitted.
3. Submit the site and preceptor requestIn Exxat, open the Coursework icon, find your course's wishlist and add the site and preceptor. View Details shows status and reviewer comments. If the preceptor lacks board certification, the approved Preceptor Exception Form goes into My Request.
4. Settle the contractThe site signs Maryville's MOU or offers its own agreement, which takes priority. See the MOU and affiliation agreement.
5. Finish site onboardingIf the site runs its own onboarding, Maryville's process uses the OnBoarding Information List and the Onboarding Request Form. If the site isn't listed, ask the site directly.
6. Collect all four approvalsThen, and only then, ask the site whether it needs a Maryville photo ID.
7. Start clinicalBegin on the date your course allows, with your Exxat account still compliant.

The four approvals before your first clinical day

Maryville's March 2025 help article on clinical approvals lists four, and you need every one before you see a patient:

• Exxat Compliance, approved and current.
• Official Exxat approval of your site and preceptor request.
• Clearance from the site, through its education department or the manager.
• Course faculty approval.

Count them rather than assume. A preceptor who says yes and a site education office that clears you still leave two approvals on Maryville's side, and the onboarding article says outright that a site's process "does not supersede the University's approval process."

Each approval can fail for its own reasons: an expired compliance item, a preceptor without board certification, a site with no contract, a course faculty member who needs more detail.

Your first day, and keeping the placement running

An April 2025 article says students in NURS 612 Advanced Health Assessment who hold all approvals may start that course's clinical in week 5 of the semester. Maryville's public articles give no matching date for the practicum courses, so check the course guidelines in the Resource Center and your Canvas course.

Once you start, compliance has to stay current. A June 2026 article says a lapsed Exxat account puts the placement "On Hold," hours completed while out of compliance must be repeated, and attending while non-compliant breaches the site contract and could lead to dismissal.

The same article says a locked account stops you logging "hours or patients," which suggests hour logging now happens in Exxat, though no article says so directly. Dress is set by both sides: Maryville asks for a white lab coat and professional dress, and the site's own dress code applies on top.

Old guides, new system: which to trust

Maryville's help articles span several years and two platforms, so check the date on anything you read. Articles from 2021 to 2023 describe eValue: a Site Request Form, a schedule for each preceptor and site, preceptor-approved time logs and the NP Student Evaluation. Under eValue, requests were processed in the order received, with a "priority request deadline" whose dates were never made public.

The approval, Exxat access and compliance articles are dated 2025 and 2026 and describe Exxat. No article says eValue has been retired, but where the two disagree, the Exxat articles are the newer word. eValue in older guides sorts out which eValue steps may still apply.

Two other loose ends. Maryville's CastleBranch portal, myCB, still lists Nurse Practitioner (Online) background check and drug test packages, while current articles send you to Universal inside Exxat, so ask before ordering either. And the 2023 webinars, still useful on preceptor and setting rules, predate the 750-hour curriculum that took effect in Spring 2024.

What Maryville doesn't publish, and where to check

Several things you will want to plan around are missing from Maryville's public pages:

• Request deadlines: no public date for submitting the Exxat site and preceptor request, or how many terms ahead to send it.
• Per-course hours: every NP concentration has 750 clinical hours across three practicums, but no split by course is published.
• How to ask for placement assistance: no public form, deadline or eligibility rule.
• Faculty site visits: not mentioned in any Maryville source.

Your first stop is the login-only Graduate Nursing Clinical Resource Center, which an Ask Maryville article calls the "main source" for preceptor and site information, clinical policies, deadlines and forms. After that, read your Canvas course. If both are silent, email the Online Clinical Team with your course number and term in the subject line.
