Maryville clinical compliance: every Exxat item, the order, and who pays

Maryville won't let you start a clinical course until every compliance item in Exxat is approved: a physical, a TB test, immunizations, AHA BLS, a health insurance card, your RN license, a background check and a drug screen. Compliance is one of four approvals, and it has to stay current until your last clinical day, because a lapse puts your account on hold and hours done while lapsed must be repeated.

What compliance means at Maryville

Compliance is Maryville's word for the health, safety and background records you clear before you see a patient as a student. The School of Nursing section of the 2026–27 catalog lists them under “Health and Other Special Requirements” and says they must be met before required clinicals.

For online graduate students, these records live in the Compliance module of Exxat. The welcome page for admitted students calls the platform the “Clinical Database System” and says set-up instructions arrive by Maryville email the semester before your first clinical. Compliance is about you, not your preceptor. Your preceptor's license and board certification are checked through the site and preceptor request, a separate approval.

Two rules here catch people out: Maryville rejects a negative titer for MMR, polio or varicella, and it rejects American Red Cross CPR and ACLS cards in place of AHA BLS.

Your health insurance card, every year

Maryville's catalog asks for a copy of your health insurance card every year, not once at the start. Treat it like the TB test: an item with a renewal date that can land in the middle of a rotation.

The usual snag is a name. Ask Maryville's article on rejected insurance cards says that if your name isn't on the card, as happens on some family plans, you need a proof-of-coverage letter from your insurer. Ask for that letter early, because the insurer sets the timing, not you.

If you change plans mid-program, upload the new card before the old coverage ends. Which date Exxat treats as the card's expiry isn't on Maryville's public pages, so check the item's status in your Compliance module, and write to approve@exxat.com if the status isn't clear.

What a site can add on top

Maryville's list is the floor, not the ceiling. The site's own sign-off, from its education department or manager, is the third of the four approvals, and it covers whatever the site requires of its students.

The catalog gives two examples. Some Missouri hospitals screen for nicotine, so nicotine users may be excluded from some sites, and some sites may require COVID vaccination. A site may also ask for a fresher background check or drug screen, which Maryville has you reorder in Exxat through “Add New Record”.

Some sites run their own onboarding as well. Maryville keeps a Graduate Nursing Onboarding Information list and an Onboarding Request Form for those sites, and says onboarding does not replace the University's approval. Ask each site for its list as soon as it agrees to take you.

A sensible order to work through it

Maryville doesn't publish a required order on its public pages. A February 2026 Maryville blog post says the login-only Graduate Nursing Clinical Resource Center holds a clinical checklist and timelines for required paperwork, so follow those where they differ. The order below is our suggestion, built around lead times and expiry dates.

  1. Read your clinical packet and the Resource Center checklistConfirm which system your cohort uses and whether any item changed this semester.
  2. Pull your records togetherFind vaccine records, titer results, your BLS card, your insurance card and your RN license details before Exxat opens, so uploading is quick.
  3. Start anything that needs more than one visitA vaccine series, a new vaccine after a negative titer, or a 2-step skin test all take separate appointments.
  4. Order the background check and drug screenBoth go through Universal inside Exxat, so they wait for your access to open.

Four approvals, and what happens if one item lapses

Compliance is the first of four approvals Maryville lists before you can start clinical. The other three are Maryville's official sign-off on your site and preceptor request in Exxat, the site's own clearance, and your course faculty's approval. Approval isn't a one-time event. Maryville's June 2026 article on attending clinicals with missing requirements says compliance must stay current the whole time you are in clinical. If an item lapses, your Exxat account goes on hold, and you can't attend clinical or log hours or patients.

Any hours logged during a lapse have to be done again. The same article calls showing up while non-compliant a breach of the site contract, one that can lead to dismissal, so a missed renewal can cost far more than the renewal itself.

An expired item puts your account on hold, and hours done while on hold must be repeated. Set a reminder for each renewal date, with weeks of margin.

Who pays for compliance

Maryville doesn't publish a line-by-line cost for compliance. Its Ask Maryville article on the One Fee (July 2026) says the fee “may cover” clinical processing depending on your program, and that “Some programs do have additional fees.”

A 2023 Maryville webinar said the per-semester fee bundled clinical processing fees and that the background check fee depended on your state. Treat that as dated. The current version sits in the Resource Center, which the 2026 blog says includes a section on “fees and expenses”.

The physical, vaccines, titers and BLS course are things you arrange with your own clinicians and a BLS training provider, and Maryville's public pages don't say whether any of that is covered. A site that wants a newer background check or drug screen also means a new order in Exxat. Before buying any CastleBranch package, read CastleBranch at Maryville.

Questions Maryville students ask

Can I start my Maryville compliance items before Exxat opens?

You can gather records early, but uploads and the Universal order wait for Exxat access, which Maryville says opens about 3–4 months before your first clinical semester. Collect vaccine records, titer results, your BLS card and your insurance card now. Hold the TB test until it will still fall within 12 months of your clinical start.

Does Maryville provide or require liability insurance for NP students?

Maryville's public pages don't say either way. We found no catalog or Ask Maryville statement that the university covers students or that you must buy your own policy. Some health systems ask schools to confirm malpractice coverage, so if your site asks, write to the Online Clinical Team and ask what to send before you buy anything.

Who do I contact when a compliance item is rejected?

Read the rejection note in Exxat, then search Ask Maryville for that item; Maryville has articles on common rejections such as TB tests, CPR cards and insurance cards. Its Exxat help article lists approve@exxat.com for compliance status and exxatcs@universalbackground.com for background check or drug screen issues. Is the compliance list the same for every Maryville NP track?

As far as Maryville's public pages show, yes. The catalog list applies to School of Nursing clinicals, and we found no track-specific additions, including no ACLS or PALS requirement. Differences come from sites: an acute-care hospital for an AGACNP rotation or a children's hospital for PNP may ask for more, so check with each site.

Can I upload the health screening records my employer already has?

Maryville's public pages don't say whether employer records are accepted as they are. What they do say is what each record must show: a TB test within 12 months, AHA BLS rather than another CPR card, and no negative titers for MMR, polio or varicella. Check the item's instructions in Exxat, and ask approve@exxat.com before relying on an employer record.
