Clinical term close and no approved preceptor? Sort your options by weeks left

What no one can shortcut

Four sign-offs stand between a willing preceptor and your first clinical day, according to a March 2025 Ask Maryville article, and your preceptor controls none of them. A preceptor's yes starts the clock; it doesn't stop it.

Maryville doesn't publish how long its review takes. Under the older eValue system, requests were handled in the order received and were busiest between a “priority request deadline” and the semester start. What you control is how complete your request is when it joins that line.

Triage by weeks left

Find your row and do what it says this week. The bands are our planning suggestion, not Maryville's, because Maryville doesn't publish its request deadlines.

Where the quickest workable names come from

When time is short, pick the preceptor with the fewest open questions, not the most impressive one. These usually have the fewest:

• A preceptor you've trained with before. In a 2023 webinar, Maryville faculty allowed FNP and AGPCNP students to stay with one preceptor from term to term. Confirm the current rule for your track.
• A site that already has an agreement with Maryville. Ask the Maryville Online Clinical Team whether a site you're considering has one, since a new contract is one more thing to wait on.
• Your employer, off the clock. You may already know who handles agreements there, but the preceptor can't be your supervisor or a direct colleague. See clinicals at your employer.
• Independent practices over big systems. Large systems run their own timelines. Mercy only accepts applications no earlier than 60 days and no later than 3 weeks before the start, CoxHealth denies rotation requests made under 30 days out, and SSM Health expects the school's formal request 21 days before a rotation.

None of these changes what Maryville checks. They only reduce the number of things that can go wrong while it checks.

Finish your side before you have a name

Compliance is the one approval where the work is all yours, so close it out while the search runs. A June 2026 Ask Maryville article says a lapse puts the placement “On Hold” and that hours done while out of compliance must be repeated, so current matters as much as complete.

The items most likely to cost time when you're rushing:

• A TB test within 12 months of your clinical start. Maryville accepts QuantiFERON Gold or T-Spot in place of the 2-step skin test, which can mean fewer appointments.
• American Heart Association BLS. Red Cross cards are rejected, so replace one now rather than after a rejection.
• The 3-page Physical Examination Form, completed by an MD, DO, NP or PA.
• Immunizations. Negative titers for MMR, polio or varicella aren't accepted, and Td is not Tdap.
• Background check and drug screen through Universal, ordered in Exxat.

If the term is too close

Sometimes the arithmetic doesn't work and the approvals can't land before your practicum begins. Say so early. Your Student Services Advisor and course faculty can tell you what Maryville allows for your course, and there are usually more options a month out than on the first day of term.

Maryville lists six starts in 2026, but it doesn't publish which starts each practicum runs in, so ask when yours next begins. What a later start does to your finish date is covered on delayed graduation.

Keep searching either way. A confirmed preceptor for the next start protects you from losing a second term, and it lets your Exxat request go in the moment Maryville allows it.
