Exxat at Maryville: compliance, site requests and when access opens

What Exxat handles for Maryville students

Exxat is where Maryville's online graduate nursing students keep their clinical paperwork. The help articles on Ask Maryville, dated 2025 and 2026, describe four jobs for it: the Compliance module, the site and preceptor request, a “School Resources” dashboard, and the approvals that clear you for a clinical course.

You may meet other names for the same job. The welcome page for admitted students calls it the “Clinical Database System”, and some older help articles say “Exxat / Castlebranch”. Maryville guides from 2021 to 2023 describe eValue for site requests, time logs and evaluations; what that means today is on our eValue page. Maryville's CastleBranch portal also still lists online NP packages, covered on CastleBranch at Maryville.

Exxat doesn't place you. Maryville's welcome page puts the arranging on students and the approving on program administration, and Exxat is where that approval gets recorded.

When your Exxat access opens

Maryville's Exxat help article (April 2025) puts the opening of student access roughly a season ahead: three to four months before the first clinical semester. Work out which course is your first clinical one before you count back. NURS 612 Advanced Health Assessment includes clinical time of its own, and Maryville says students with all approvals may start it in week 5 of the semester.

In the semester ahead of your first clinical, Maryville sends preceptor qualifications, the types of site that qualify, and set-up steps for immunizations, the background check and the drug screen. A 2023 Maryville webinar called this bundle the clinical packet.

Access opening is not the moment to start looking. The same 2023 webinar advised applicants to have a likely preceptor in view while still applying, so that a name is ready when the request screen appears. How this lines up with Maryville's six yearly starts is on the Maryville clinical timeline.

The Compliance module

Compliance is the first of Maryville's four approvals, and it lives in Exxat. Maryville's help articles place the background check and drug screen there, ordered “through Universal” inside Exxat, along with the Physical Examination Form, a 3-page template that an MD, DO, NP or PA completes.

Submitting your site and preceptor request

Your preceptor and site go into Exxat as a request tied to one course. Maryville's approvals article (March 2025) gives the route: the Coursework icon, then the course “wishlist”, then View Details, which shows the request's status and any comments on it.

A preceptor without board certification means one more attachment: an approved Preceptor Exception Form, placed under “My Request”. The Program Coordinator approves those forms, and the steps are on the Preceptor Exception Form.

Maryville doesn't post the request's fields on its public pages. What the request has to show, and the rule mismatches most likely to send it back, are on the Site Request Form page. Older Maryville guides used that name for the eValue version of the same request.

The four approvals Exxat has to show

Maryville lists four approvals you need before starting clinical, and two of them are Exxat records. An approved request on its own does not clear you to start.

1. Exxat Compliance approved and currentEvery item accepted, and none expired.
2. Official Exxat decision on the site and preceptor requestMaryville's decision on the request you entered through the course wishlist.
3. Clearance from the siteGiven by the site's education department or manager.
4. Approval from course facultyGiven by the faculty teaching your clinical course.

Some sites add onboarding of their own. Maryville says that onboarding never takes the place of the University's approval, so it runs alongside the four approvals rather than replacing any of them. For sites on its onboarding list, Maryville keeps an Onboarding Request Form.

Keep Exxat current for the whole rotation

Compliance has to hold for as long as you are in clinical, not just on day one. Maryville's June 2026 article says that if your Exxat account lapses, your placement goes “On Hold” and any hours logged during the lapse have to be redone. Maryville treats clinical attendance during a lapse as a breach of the site contract and warns it could lead to dismissal.

A locked account, that article adds, can't be used to log hours or patients. That suggests Exxat now handles hour logging, though no Maryville page says so directly; clinical hour logs covers what is and isn't known.

Watch the items that renew. The TB test is renewed each year and the flu shot is annual, so compare each expiry date with the last day of your rotation, not the first.

Maryville's Exxat help article sends different questions to different places. Compliance questions go to approve@exxat.com, technical problems to prism-support@exxat.com, and background check or drug screen issues to Universal at exxatcs@universalbackground.com.

Before you write, search Ask Maryville for the exact wording Exxat shows you, since many common rejections already have an article. When you do write, give your course number and copy the status and comments from View Details, so nobody has to ask which request you mean.
