Working with the Maryville Online Clinical Team
The Maryville Online Clinical Team is where Maryville's help articles send online graduate nursing students with questions about Exxat, site onboarding and clinical photo IDs. It is your contact for the placement process, not the person who finds your preceptor. Knowing what it handles, and who else signs off, saves a lot of forwarded email.

Who the team is
Maryville's Ask Maryville articles use two names for this function: the Maryville Online Clinical Team and, in places, the nursing clinical operations team. Its address, onlineclinicalteam@maryville.edu, appears on the Exxat help article and the photo ID replacement article. The January 2024 onboarding article also named a staff contact for onboarding questions at the same address.
The articles are written for graduate nursing students heading into clinical courses, and the team's work sits around Exxat, the platform Maryville's welcome page calls its "Clinical Database System." Much of what the team would otherwise repeat by email lives in the login-only Graduate Nursing Clinical Resource Center, so read that first.
Maryville's articles list a phone line for the team as well as the email. Use email for anything that touches an approval: it leaves a written record you can point back to if a date or decision is questioned later.
What the team handles
Across Maryville's help articles, the Online Clinical Team is the Maryville contact for:
- Exxat help. The April 2025 Exxat article lists the team as the Maryville contact. It routes compliance-review questions and technical faults to separate Exxat support addresses, and background check and drug screen orders to Universal.
- Site onboarding. For sites that run their own student onboarding, Maryville uses its OnBoarding Information List and Onboarding Request Form; questions about either go to the team's address.
- Photo IDs. Requests for a Maryville student photo ID, and replacements, when a clinical site requires one.
- Process questions that the Resource Center and your Canvas course don't answer.
For the approval itself, the Exxat request is the channel. Status and reviewer comments show under View Details on your course's wishlist, so read those before you email; a comment there may already answer your question.
What the team doesn't do
- Find your preceptor by default. Maryville's welcome page makes preceptors the student's job to arrange. Placement assistance and preceptor mentors exist as a fallback, covered under Maryville placement assistance.
- Pay preceptors. Asked in the 2023 MSN webinar whether preceptors get a stipend, a Maryville speaker said the university does not pay its clinical preceptors.
- Sign off Preceptor Exception Forms. Maryville's article names the Program Coordinator as the approver for preceptors who aren't board certified.
- Give course faculty approval. That is the fourth of the four approvals, and it comes from your course faculty.
- Decide for the site. A health system's onboarding and a site's clearance are the site's calls, and neither replaces Maryville's own approval.
- Fix Exxat bugs. Technical faults go to Exxat support.
Knowing these limits keeps you from waiting on the wrong inbox. Course questions belong with your faculty, and questions about a site's own rules belong with the site's education contact.
Who else is involved, and for what
Maryville names several other roles in the clinical process. Sending a question to the right one first is half the work.

Maryville also names Student Services Advisors, student support advisors and enrollment advisors. The 2026 blog quotes a PNP graduate whose advisors suggested websites and tools to use in the preceptor search.
How to write to the team so you get a useful answer
An email that answers the team's first questions up front saves a round trip. Include:
- your full name, Maryville student ID and concentration;
- the course number and start term, for example
NURS 621in the Fall 1 start; - the site's legal name, address and the person who handles student agreements;
- the preceptor's name, credential, license state and board certification;
- what you have already done in Exxat and what View Details shows now;
- the decision you need, and the date your course starts.
Keep to one topic per email where you can, write from your Maryville account so it matches your records, and keep the thread. If a preceptor drops out mid-term, write the same day; the steps are on preceptor dropped out.
Older names you may still see
Help articles from the eValue era describe an "eValue Processing Team" that reviewed site requests, with its own mailbox. Those articles are dated 2023 or earlier. The Exxat-era articles point to the Online Clinical Team instead, so write there unless the Resource Center says otherwise. eValue in older guides explains what that older system did.
The 2023 webinars also describe the PMHNP coordinator reviewing PMHNP preceptors, including the counselor-type professionals who can cover some psychotherapy hours. That may still be how it works, but it comes from a recorded information session, not a policy page. PMHNP students should confirm the current reviewer in the Resource Center; what that reviewer looks for is on preceptor requirements.
When two sources disagree about who to contact, go with the newer one and say in your email which article you followed.

What is the Maryville Online Clinical Team's email address?
Maryville's help articles give onlineclinicalteam@maryville.edu. The same address appears on the Exxat help article, the photo ID replacement article and the clinical onboarding article. Write from your Maryville email, put your course number and term in the subject line, and keep the reply thread, since it becomes your record if an approval question comes up later.
Does the Online Clinical Team approve my preceptor?
Maryville's articles describe an official Exxat approval of the site and preceptor request but don't name the individual reviewer. What is clear is that a preceptor who isn't board certified needs the Program Coordinator's approved exception form, and your course faculty give a separate approval. Who do I contact about an Exxat compliance rejection?
Start with the reviewer's comment on the item in Exxat. Maryville's Exxat help article routes compliance-review questions and technical problems to Exxat's own support contacts, and background check or drug screen questions to Universal. Bring in the Online Clinical Team when a rejection threatens your start date or involves a site's extra requirement.
Can the Online Clinical Team find me a preceptor?
Not as its standard role. Maryville expects students to arrange their own preceptors and describes its placement assistance and preceptor mentors as help for students who have hit a wall. Its public pages don't explain how to request that help or who runs it, so check the Resource Center or ask the team, and keep a record of the preceptors you've contacted.
How quickly does the Online Clinical Team reply?
Maryville doesn't publish a response time. The only workload hint is from the 2023 eValue era, when review volume peaked between the priority request deadline and the start of the semester. Email early, put everything in one message, and don't leave a question that blocks an approval until the week before your course starts.
