What onboarding means at Maryville

Onboarding is the site's process, not Maryville's. Maryville's January 2024 help article on online nursing clinical onboarding says some sites require their own onboarding for students. What that involves is set by each site, and it runs alongside Maryville's own steps.

It also connects to Maryville's four approvals. Clearance from the site's education department or manager is the third one, and at sites with formal onboarding, finishing it is likely part of how that clearance is given. It still isn't the whole picture: in the article's words, onboarding "does not supersede the University's approval process," so a finished onboarding doesn't mean Maryville has approved your placement. Maryville runs a separate login-only SharePoint site called Graduate Nursing Onboarding Information, alongside the Graduate Nursing Clinical Resource Center. Both need your Maryville login.

The OnBoarding Information List and Onboarding Request Form

1. Check the listLook for your site on Maryville's OnBoarding Information List. The onboarding article and the Graduate Nursing Onboarding Information site are the places to start.
2. If it's listed, use the Onboarding Request FormFor sites on the list, Maryville uses the Onboarding Request Form. The public article doesn't list its fields, so have the site name, address, department, preceptor and course dates ready.
3. If it isn't listed, ask the siteThe article puts this on you: check with the site directly about what it requires.
4. Complete the site's stepsFinish whatever the site assigns, on its timeline, and keep copies of what you submit.
5. Keep Maryville's side movingOnboarding runs alongside your Exxat request and compliance, not instead of them.

If your site isn't on the list

A site missing from the list may still have onboarding; it just isn't on Maryville's record. Ask the site's education department or student coordinator:

• Do you have an onboarding process for nurse practitioner students from outside programs?
• What do you need from me, and from Maryville, and how far ahead of my start date?
• Do you require a newer background check or drug screen than my school's?
• Is there extra screening, such as nicotine testing, or vaccines such as COVID?
• Do you require a school photo ID, and will a digital ID do?
• Who confirms I'm cleared, and how will I hear?

Share the answers with the Online Clinical Team so Maryville's record matches the site's. Ask these questions before the preceptor is final if you can; a site whose onboarding can't fit your calendar is better found out early.

What health-system sites can add

Maryville's own sources name several things sites can ask for beyond the standard list. A March 2025 article covers sites that require a newer background check or drug screen: you reorder it in Exxat, where Maryville's background checks and drug screens run through Universal.

Two more come from the 2026-27 catalog: some Missouri hospitals screen for nicotine, and some clinical sites may require COVID vaccination. Dress rules stack as well: Maryville's white lab coat and professional dress, plus the site's own code.

Everything Maryville requires still applies, and Exxat Compliance, including the Physical Examination Form, TB testing and AHA BLS, has to stay current for the whole placement. How St. Louis and Kansas City systems take NP students has its own page; the Universal side is on background check and drug screen.

The Student Photo ID Request

Some sites want you to wear a school ID. Maryville's March 2025 article on photo IDs for MSN clinicals sets the order: only after final Exxat approval, ask the site whether it requires a Maryville photo ID, and submit the Student Photo ID Request if it does. The ID comes after approval, not as part of getting it.

Maryville has moved to digital IDs, so ask the site whether a digital ID is acceptable. If the site issues a badge of its own, that belongs to its onboarding, and a Maryville ID doesn't replace it.

Lost or damaged IDs have their own Ask Maryville article on requesting a replacement for MSN clinicals, which lists the Online Clinical Team as the contact. Request a replacement as soon as you notice, since a site that requires an ID may not let you in without one.

What Maryville keeps behind the login

Maryville's public pages don't show which sites are on the OnBoarding Information List, how far ahead to submit the Onboarding Request Form, or how long any site's onboarding takes. The list and the Graduate Nursing Onboarding Information site both sit behind your Maryville login.

The onboarding article dates from January 2024, and it named a staff contact for onboarding questions at the Online Clinical Team's address. Staff change, so write to the team address rather than a named person. The photo ID guidance is newer, from March 2025.

Timing is the practical risk. A site whose onboarding runs longer than the gap between your approvals and your start date can cost you the term even with everything else in place. Ask each site for its lead time in the first conversation, and plan backward with the clinical timeline.
