Maryville said no to your preceptor or site: find the reason, then fix it

Read the reason before you change anything

Start in Exxat. Maryville's March 2025 approvals article says you track a request from the Coursework icon, then your course wishlist, then View Details, which shows its status and any comments. If the comment is unclear, ask the Maryville Online Clinical Team to spell out the reason in writing.

Then pin down which of the four sign-offs stalled: your own compliance record, Maryville's decision on the request, the site's clearance, or your course faculty. A no from the site's education department is a different problem from a no in Exxat, and the fixes differ.

When the problem is the preceptor

These rules come from Maryville's February 2026 preceptor blog and older Maryville guidance.

For proof, a 2021 Ask Maryville article points to Nursys for NPs, noting that a CNP license can cover both license and board certification, with separate lookups for physicians. The exception route is on the Preceptor Exception Form page, and the full rule set on preceptor requirements.

When the problem is the site or its state

Even a well-qualified clinician can be the wrong choice if the practice itself fails a test. The usual site problems, and what fixes them:

• Your employer, on the clock. Maryville's 2023 webinar allowed an employer site only without a conflict of interest, and said you can't be working during the practicum. Fix: clinical days off the clock, with a preceptor outside your reporting line. See clinicals at your employer.
• No agreement. The site hasn't signed Maryville's MOU and hasn't offered its own contract. Fix: ask its HR, business or education department how it handles agreements; see the MOU and affiliation agreement.
• Wrong setting. A hospitalist service for an FNP practicum, or primary care with no psychiatric provider for PMHNP. Fix: a setting that matches your course.
• A state your track doesn't meet. In Maryville's June 2026 licensure grids, no NP track is marked as meeting New York's requirements, and in Louisiana only FNP is. Fix: a site in a state that is open for your track, where your RN license is unencumbered.

A still-live status page last modified in 2020 also restricts Washington and, for AGACNP, PNP and PMHNP, Oregon. The 2026 grids don't show those limits, so confirm with Maryville; see out-of-state clinicals.

When the hold is on your side: compliance

Sometimes nothing is wrong with the preceptor or the site, and the block is your Exxat Compliance. One expired item is enough: the June 2026 Ask Maryville article on locked accounts says the placement goes “On Hold” and that clinical time logged during the lapse won't stand.

The fix is to clear the item, then check the rest before you resubmit. Items that Ask Maryville articles show coming back rejected:

• A CPR card that isn't American Heart Association BLS
• A negative MMR, polio or varicella titer, which calls for the vaccine instead
• Td in place of Tdap
• A TB test more than 12 months old
• A health insurance card without your name, which needs a proof-of-coverage letter

Fix, resubmit and protect your timeline

Once you know the reason, work through it in this order, so the next request goes in clean.

1. Get the reason in writingFrom the Exxat comments or the Online Clinical Team, so you fix the right thing.
2. Sort it: paperwork or a new personA missing upload or an exception form is paperwork. A relationship conflict, a wrong setting or a state your track doesn't meet needs a different preceptor or site.
3. Check the replacement against every ruleRun the whole table above before you ask anyone new, so the second request doesn't fail for a different reason.
4. Tell the preceptor or siteExplain what happened and thank them. A clinician turned down for a setting reason may know a colleague who fits.
5. Resubmit and watch the requestFollow status and comments in Exxat until all four approvals show.
